Time tracking
Basecamp unfortunately has no native solution of its own for recording working hours. Since as a studio we depend on it for measuring success and budget, we work with Everhour as an extension.
Our tracking process
At the following link you will find a short introduction video that explains the basics well and is a good way into the subject (Video). To go a little more specifically into our use at fjnland, you will find below the recommended ways to document your working time in Basecamp. Before you start, make sure that you:
Are logged into Basecamp in the browser (Login)
Are logged into Everhour in the browser (Login)
Have installed the Everhour browser extension (Guide)
Have linked both tools with each other (see Video)
If everything worked, your menu bar in Basecamp should now contain the Timesheet icon. Depending on which type you are, you can record your time directly and immediately on the respective to-do, or add it at the end of the day or the end of the week. A tip: try not to let too much time pass between the actual task and recording your hours, because it is easy to lose the overview that way.
Recording on the task
The most immediate way to record your time is live tracking on the respective task. This works inside the to-do tool, but also under My Stuff and even in the calendar. Wherever you track, make sure you stop your timer again after finishing the respective task. Everhour does this automatically for you if you have not been in the application for more than 8 hours. Either way it is then worth checking the correct times once more in the day or week view.
Adding it in the evening
Especially when your day consists of many smaller tasks, recording on each task can become an extra time sink. Better take 10 minutes at the end of your working day and add the time slots in a bundle in Everhour. For this there is the Timesheet in the Basecamp menu bar (this only works in the browser and after the corresponding installation, see the steps in the introduction above).
When you click it, a popup opens in the look and feel of Everhour. In it you can now add the corresponding tasks under New Entry. Important: All tasks listed here Everhour takes from the to-dos in the project board. If something is missing, first check whether the task exists in the to-do list. If not, add it and reload the page. You should then find it in the Timesheet as well.
Weekly review
At the end of each week a short résumé of your time entries via the week view in the Everhour Timesheet is worthwhile. Here you see your entire recorded working time and can check whether everything is right. To do so, click the Timesheet in the Basecamp menu bar and then Weekly. The table view of your weekly time entries that then appears can be reviewed and edited clearly. Tip: because it is sometimes not easy to remember all meetings and doings in a week, a look at the activity timeline under Activity can bring clarity.
